About this role

We are looking for an expert payroll and benefits specialist to join our newly formed Talent (HR) team. In this role, you will be responsible for managing payroll preparation disbursement, and benefits administration. You are the subject matter expert in the field and will need to ensure accurate, timely and complete recording of all activity. You will also be responsible for our HRIS and payroll system and will work on implementing new features and functionalities in coordination with our vendor.

What you will do

  • Reliably and accurately process and submit semi-monthly payroll to create accurate employee records and timely and correct wage payments; distribute paychecks and paystubs; oversee all payroll tax filings.
  • Oversees and assists with monthly billings from insurance providers; reviews billings for accuracy; codes and advances for payment; resolves discrepancies with carriers, payroll and the company.
  • Monitor electronic timesheets for accuracy; communicate with staff and supervisor regarding problems or needed adjustments.
  • Maintain paid time off accruals and leave of absence benefits tracking.
  • Balance and submit employee deductions for benefit reimbursement programs and retirement plan; monitor all deductions for accuracy.
  • Calculate and enter into the pay system such items such as manual payroll checks, quarterly disbursements such as workers' compensation, year-end W-2's unemployment.
  • Coordinate effectively with accounting staff and the staff of other departments to ensure timely, appropriate handling of transactions and accurate payroll, accounting records.
  • Continuously look for improvements to systems, processes, procedures and/or equipment.
  • Provide thorough and accurate administration of employee healthcare benefits, including enrollments, changes and terminations, monthly invoice processing and providing materials support.
  • Demonstrate excellent people care by providing employees with the appropriate resources for assistance with benefits issues.
  • Update HRIS system including process of employee transactions, paperwork as related to new hires, status changes and termination by managing and maintaining employee records through physical and digital files.
  • Respond to all employment verifications in a timely and accurate manner.
  • Assist with preparation of various HRIS reports and payroll / benefits audits.
  • Assist with employee and supervisory training of payroll and benefits processes and programs.
  • Maintain and organize HR files and other duties as assign.

What you should bring to the table

  • Must possess a passion for educating and guiding employees through the process of understanding the payroll process, accessing benefits and related services and resources.
  • Ability to model excellent customer service for both internal and external clients required.
  • Excellent written and oral communication skills, with the proven ability to explain complex information in easy to understand terms.
  • Must possess a high degree of emotional intelligence and outstanding listening skills along with the ability to display the appropriate degree of compassion and understanding.
  • Strong working knowledge of all benefits-related regulatory requirements (including but not limited to HIPAA, COBRA, ACA) an absolute must.
  • Ability to partner across the organization at all levels.
  • Must possess excellent organizational skills, with the ability to multi-task, maintain proper focus and pay excellent attention to detail.
  • Ability to handle sensitive and confidential information in a professional manner.
  • Self-motivated and directed.
  • Proficiency with Microsoft Word, Excel, and Outlook required.
  • Familiarity with multi-faceted HRIS systems (preferably Paychex) and employee record filing and systems management required.
  • Familiarity with human resources best practices, employment law and regulations required.

Does it look like you?

  • Associate's Degree or equivalent years of experience required.
  • PHR certification highly preferred.
  • 5+ years of hands-on experience with payroll and benefits administration.
  • Proven Human Resources records administration (physical and HRIS) required; experience with Paychex highly preferred.
  • Solid working knowledge of report and presentation preparation using Microsoft Office Suite products Word, Excel and PowerPoint.
  • Knowledge of accounting, budgeting principles required.
  • Knowledge of federal and state accounting regulations required.
  • Ability to maintain confidentiality regarding sensitive information required.
